Job Title: Administrative Assistant/Special Projects Coordinator

Department Description

The Utah Commission on Volunteers, an office of the Lieutenant Governor, is housed with the Utah Division of Housing and Community Development.  The Commission is comprised of 25 board members representing local government, community based organizations and statewide networks. It furthers its mission of improving communities through service and volunteering by promoting community collaboration, volunteer recognition, engaging youth and senior/skills based volunteers, and administering AmeriCorps/National Service programs.

Position Description
The Administrative Assistant/Special Projects Coordinator will work to support, promote and coordinate Commission activities as outlined by the Corporation for National and Community Service, in current legislation and in support of all sub-committees; specifically in the areas of administrative/office support, volunteer recognition and special project coordination. Specific duties may include but are not limited to:
*         Administrative Support/Office Management: provides administrative support to the Executive Director and staff; takes minutes, schedules meetings and prepares materials; manages agency correspondence and responds to inquiries; maintain internal records, contracts, reports, files, and related documents; financial gatekeeper; contracts and document processing; travel and reimbursements; federal and state policies and procedures
*         Volunteer Recognition: manage state awards & banquet; develop and implement state recognition program; statewide event collaboration; coordinate statewide recognition events web resource; staff oversight of sub-committee
*         Special Projects: plan, organize and implement action plans as directed to meet the goals and objectives of the agency. May include: Youth engagement programs, service as a strategy to employment, social media and marketing, developing training tools and evaluations, etc.
*         Other duties as assigned

Qualifications, Skills & Abilities
This is a professional position requiring knowledge and experience in the areas of administrative support, accounting and bookkeeping, database management, office management and procedures, event coordination, and the ability to organize and work in a team environment. Must be able to support, develop, direct and evaluate programs and effectiveness; review data and report; and provide technical assistance as applicable. Must have the ability to develop approaches for implementation of an idea, program or change in operation; keep agency, professional and/or industry standard and practices; speak clearly, concisely and effectively; deliver presentations or training; compose and produce reports, documents and related materials. Must have excellent written and oral communication skills, ability to self-direct and take initiative, have excellent organizational skills, and be detail oriented. Must demonstrate exceptional communication skills and have the ability to work diplomatically and skillfully with a variety of people with diverse backgrounds and personalities.
